**Overview**

**Duties**
- Manage daily office operations, including customer and vendor management.
- Serve as the first point of contact for phone calls: greeting customers, handling requests, and scheduling work using the online platform Jobber.
- Keep job, invoice, payment, and customer data up to date.
- Manage all administrative duties for our annual maintenance program, including onboarding new members, scheduling maintenance visits, setting up automatic payments, and renewing subscriptions.
- Assist in human resources functions such as onboarding new employees and maintaining personnel records.
- Maintain organized filing systems and manage office supplies inventory.
- Utilize QuickBooks for basic accounting tasks and financial record keeping.
- Communicate effectively with team members and external vendors to facilitate smooth operations.
- Support team management by coordinating meetings, schedules, and office events.

**Skills**
- Proven experience in an administrative role with strong organizational skills.
- Excellent communication skills, both verbal and written.
- Proficiency with Google Workspace (Gmail, Docs, Sheets)
- Experience with Microsoft apps (Word and Excel)
- Proficiency in customer and vendor management and maintaining professional relationships.
- Experience with AP/AR duties (issuing vendor payments, issuing customer invoices)
- Comfortable with payment collection.
- Familiarity with Jobber or similar job management software is a plus.
- Familiarity with QuickBooks or similar accounting software is a plus.
- Ability to multitask, prioritize responsibilities, and work under pressure.
- Strong attention to detail and problem-solving abilities.

Pay: $20.00-$22.00 per hour

Expected hours: 40 per week

Schedule:

- 8 hour shift
- Day shift
- Monday to Friday

**Education**:

- Secondary School (preferred)

**Experience**:

- Multi-line phone systems: 1 year (preferred)
- Google Workspace: 2 years (preferred)
- Microsoft Office: 3 years (required)

**Language**:

- English (required)

Work Location: Hybrid remote in Brantford, ON
