**Office & Sales Administrator Position (In Office)**

**The Role**: Office & Sales Administrator

**Direct Reports**: 0

**Reports To**: Sales Manager

**Role Description**:
**Duties Include**:

- Ensure showroom is always clean and tidy
- Ensure showroom is always stocked (brochures, beverages, etc.)
- Welcome visitors with smile and warm personality
- Offer beverages (Coffee, tea, water, juice)
- Set up movies for Client's children (When required)
- Provide showroom tours, confidently demonstrating various sunroom designs, products, and options. Set Sales Appointment if ready.
- Manage Company leads, Including:

- Educate and qualify inquires to eliminate those that are not our customers.
- Set the appointment: time, decision makers, clear appointment expectations, etc.
- Enter new leads in Market Sharp
- Update / Manage Sales Calendar
- Track sales updates / status
- Manage inquiries
- Facilitate Rehashing of Leads
- Work closely with Salesperson’s to help make them as efficient as possible:

- Ensure Active Leads take precedence over new leads
- Follow-up and book “Active - unset leads”
- Carefully manage the calendar; minimizing drive trim, down time, and wasted time.
- Assist in efficiently scheduling site visits and customer follow up
- Assist in efficiently scheduling Table talks and preside meeting.
- Assist in ensuring all sales related Tasks are completed in a timely manner
- Manage “Live” Leads: (Potential Future Customers)
- Enter relevant info in Market Sharp
- Gather Job Jackets from Salesperson
- Create monthly “Re-Hash reports” ensuring these leads are properly followed up on.

Manage new Sales:

- Update new sales in Market Sharp.
- Announce / Congratulate new sales to sales / management team via E-mail.
- Work with the Salesperson to facilitate collection of deposit.
- Ensure all required Sales Documents are promptly passed into office.
- Work closely with Sales Manager to prepare and analyze Management Reports, including:

- Leads, Sales and Marketing reports
- Work closely with Sales Manager to plan and facilitate sales communication, training, meeting and events.
- Work closely with Sales Manager to plan and facilitate all Company marketing
- Provide administrative support to office and sales staff
- Other tasks may be assigned

**Role Requirements**:

- Proven work experience as a Sales administrator or Sales support agent
- Hands on experience with CRM software, Adobe and MS Office (MS Excel in particular)
- Understanding of sales performance metrics
- Excellent organizational and multitasking skills
- A team player with high level of dedication
- Ability to work under strict deadlines
- Certification in Marketing, Sales or relevant field is a plus

**Salary**: $40,000.00-$43,000.00 per year

Ability to commute/relocate:

- Concord, ON: reliably commute or plan to relocate before starting work (required)

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (preferred)
- Administrative experience: 3 years (preferred)
