**Opportunity**:
The Administrative Support Specialist ensures the effective management of the office, administrative and facilities functions at the Corporate Headquarters. Providing general and project support, the Administrative Support Specialist ensures procedures and policies are in place to promote efficient professional practices. The Administrative Support Specialist also supports the corporate function by providing assistance to the legal department in maintaining business systems and databases.

This role is best suited for a self-starter who is looking to be part of a dynamic team and who appreciates a diverse, collaborative work environment.

**Duties and Responsibilities**:
Office Administration and Facilities
- Oversees and coordinates office procedures and implements new processes when required. Provides guidance to other staff members on office practices and acts as a central resource for general company information.
- Assumes responsibility for the office health and safety including acting as Evacuation Supervisor and serving as Certified Member of the Joint Health and Safety Committee.
- Coordinates office related services, such as space relocations, office equipment, ordering supplies (stationary and beverage/snacks), updating forms, general maintenance and security services; places orders and re-stocks appropriately.
- Maintains the physical security platform for employee access control and badges ; coordinate with building security for base building access, tracks and maintains temporary badge distribution and generates and distributes reports to internal stakeholders.
- Manages relationship with Property Management.
- Ensures a high standard regarding a clean and safe work environment; co-ordinates with external services and/or vendors as required.
- Reviews and updates health and safety policies, attends health and safety training. Co-ordinates the health and safety program and acts as the team leader.
- Maintains emergency evacuation plan and acts as a fire warden.
- Remains current on a variety of facilities and administrative issues and works closely with employees and management to communicate updates in a timely manner.
- Organizes company and employee events.
- Provides call handling services and responds to telephone inquiries from the public as required; maintains visitor sign-in/-out logs.

Legal Department and Executive Support
- Provides assistance with defining corporate processes and policy documentation, communicating as appropriate.
- Maintains Sharepoint sites.
- Arranges catering, oversee pantry program and support local event planning.
- Act as a liaison between Executive Leadership Team and various stakeholders.
- Prepares expense reports for executives.
- Assists other members of the Senior Management team when necessary.
- Performs other related duties relevant to the position.

**Qualifications**:

- Business Administration Diploma, or equivalent is preferred
- Positive attitude with strong customer service skills
- Ability to multitask and communicate effectively with individuals at all levels in the organization, both verbally and in writing
- Exceptional organizational skills and demonstrated ability to prioritize tasks with a sense of urgency and solid problem-solving skills
- Detail oriented with strong follow-through
- Demonstrated ability to act independently upon information and make decisions that achieve optimal results
- Knowledgeable of the Health & Safety Act and company requirements, Ergonomics awareness etc. (or a willingness to learn)
- Ability to build strong working relationships across all levels of the organization to facilitate collaboration
- Proficiency in Microsoft Office Suite
- Willingness to be in-office 5 days a week
- Demonstrated openness to new ideas and approaches

**Nice to have**:

- Access to a vehicle with a valid driver’s license
