**About the role**

BMT Canada is recruiting for a Project Support Specialist to join our Design Engineering Services (DES) team. In this role you will

Support the Engineering Management Team. The incumbent will be required to support the Engineering Management team in the on-going management and administration of the Engineering group, including:

- Support recruitment activities
- Maintain the recruitment status board
- Assist in the co-ordination of interviews
- Maintain recruitment tracking documents
- Assist with new starter co-ordination
- Support the DES Communications site and maintain routine content updates
- Co-ordinate DES document management
- Publish documents on the DES Comms site
- Liaise with authors for routine updates
- Work with authors on initial development, including format
- Maintain the DES Organisational chart
- Support Resource Management
- Assist the EMs with the maintenance of the ERP
- Monitor and Track Target Utilisation
- Support external training administration
- Support deployment / tasking readiness tracking
- Organise DES reference documents
- Coordinate DES technical tools and licencing

Project control and delivery. The incumbent will be required to support the project management teams in the coordination and delivery of projects, including:

- Coordinate overseas deployment and project travel activities:

- Coordinate travel and accommodation
- Coordinate visa and other documentation / requirements
- Provide project administration and co-ordination support
- Support document control (review and distribution)
- Support the development of BAFs, Proposals and other project documents
- Assist in meeting coordination, minute taking and action tracking
- Track project performance and complete project reporting for assigned projects.

Deliver billable work. The position holder will be expected to deliver billable work as assigned to achieve their target utilisation as set by the Business Line Lead.

Support the Project Manager. The incumbent will support the Project Manager(s) through the provision of:

- Logistics support
- Liaising with real estate agents for accommodation
- Liaising with transport companies to meet transport requirements
- Support with the management of services (ie utilities)
- Support arriving in-country personnel with quarantine requirements
- Support in-country personnel should medical intervention be necessary
- cultural guidance
- Local advice
- Language support during client engagements as necessary
- Input into the Deployment Tracker

Support project delivery. The incumbent will be required to support the delivery of the project by:

- Providing language support in meetings and informal translation support
- Assisting to co-ordinate meetings with the client(s)
- Maintaining project registers (risk, issues, lessons learnt etc)
- Supporting team members during the definition of task scope to ensure that language is not a barrier in determining the client’s wishes
- Completing duties as identified within the PMP

**About You**

We are looking for enthusiastic and flexible team members, who possess the following knowledge, experience, and skills:
Essential:

- Excellent written and oral communication
- Proficient user of the Microsoft 365 suite of products (Word, Excel, PowerPoint, Task Boards, Teams)
- Excellent time management skills
- Excellent problem-solving skills
- Chinese Language Skills (for ROC support role)

Desirable:

- Experience with SharePoint administration - including creating and customising views, modifying site structure and navigation, and management of site content
- Project or team / department coordination experience
- Proficiency at using Apps within Teams
- Project Controller Experience / Project Management Experience
