To provide administrative support to the Vice President Long Term Care Operations

QUALIFICATIONS:

- Excellent working knowledge of MS Office, including Excel, Word, Power Point programs and social media platforms.
- Basic knowledge of accounting.
- Strong written and verbal skills with keen eye to detail.
- Self-starter with the ability to juggle multiple schedules.
- Ability to multi-task and prioritize multiple deadlines.
- Organize and expedite workflow.
- Ability to work in a fast-paced environment and able to adapt to change.
- Excellent interpersonal and time management skills.
- Work experience as Executive Assistant, Office Manager orpersonal assistant.
- Ability to maintain confidentiality of highly sensitive information.

**EDUCATION**:

- College diploma or equivalent or 3-5 years of experience in the Health Care field or related area.

**RESPONSIBILTIES**:

- Work closely with the VP, Long Term Care to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Coordinate meetings and calendars.
- Make travel and accommodation arrangements and organize itineraries.
- Scheduling, coordinate and provide support during external and internal conferences/events and training sessions and assist with allocation of costs as applicable.
- Prepare monthly expense accounts and reconcile monthly bills.
- Manage office supply inventory and coordination of all corporate office expense reports for submission.
- Answers phones/enquiries/concerns professionally and escalates to appropriate leader.
- Manage and monitor the LTC Corporate Complaint log ensuring issues and complaints are being escalated appropriately.
- Support the development of meeting agendas and meeting minutes.
- Set up and maintain paper and electronic files.
- Maintain internal and external distribution lists including OLTCA, ltchomes.net, LTC website and coordinate annual fees to be processed as applicable.
- Assist with onboarding of our new Corporate Office team members.
- Manage all aspects of the platforms office services including but limited to determining procedures for effective workflow.
- Manage and organize external vendor, student, agency contracts that support the operations of the division.
- Manage complex office administrative work that requires the use of independent judgement and initiative.
- Maintain effective communication with internal and external stakeholders.
- Provide hospitality to all guests.
- Other duties as assigned.
