Administrator Assistant

**Your Role**:
Reporting to the General Director, the Administrator Assistant is passionate about the diverse and inter-related aspects of operating a daycare centre. The Administrator is an indispensable member of the administration team and a key strategic partner who provides unifying and inspiring leadership to the entire staff. The Administrator manages collaboratively, with efficiency, openness and integrity, and strives to ensure that our reputation continues to grow.
**Job details**:
- Pay: $20.50-$28.00/hour based on experience
- Permanent, 25-30 hours/week
- Monday to Friday, noon-5:30pm
**Location**

**Responsibilities (Include, but are not limited to)**
Reception
- Oversee children’s attendance & staff schedules
- Organise field trips, visiting animators and special events
- Review contracts with suppliers and order supplies
- Communicate with parents regarding transitions
Finance
- Invoicing and payment processing
- Daycare management software (knowledge of Majeunesse an asset)
- Compliance
- Ensure conformity with _Ministère de la famille_ requirements
- Comply with all City / legal requirements
Operations
- Oversee general needs relating to building maintenance
- Keep abreast of best practices in management of ECE centres
- Schedule and host tours for prospective families
- Prepare and maintain documentation and marketing materials, website building an asset

**Qualifications**
- A.E.C. or equivalent, with a specialisation in ECE or in Administration an asset
- Excellent communication and computer skills
- Bilingual English and French
- Previous experience in administration
- Previous experience in Early Childhood Education an asset

- Rémunération : 20,50 à 28,00 $/heure en fonction de l'expérience
- Permanent, 25-30 heures/semaine
- Du lundi au vendredi, de midi à 17h30

**RESPONSABILITÉS (Y compris, mais sans s'y limiter)**
Réception
- Répondre aux appels et aux couriels
- Superviser la présence des enfants et les horaires du personnel
- Organiser les sorties, les animateurs et les événements spéciaux
- Examiner les contrats avec les fournisseurs et passer des commandes de fournitures
- Communiquer avec les parents au sujet des transitions
Finance
- Facturation et traitement des paiements
- Logiciel de gestion de service de garde (connaissance de Majeunesse, un atout)
Conformité
- Veiller à la conformité des exigences du _Ministère de la famille_
- Respecter toutes les exigences légales
Opérations
- Superviser les besoins généraux liés à l'entretien du bâtiment
- Se tenir informé/e des meilleures pratiques en matière de gestion des centres de la petite enfance
- Organiser des visites pour les familles potentielles.
- Préparer et tenir à jour la documentation et le matériel de marketing, la création d'un site web étant un atout.

**QUALIFICATIONS**
- A.E.C. ou équivalent, avec spécialisation en administration ou en éducation de la petite enfance un atout
- Excellentes compétences en communication et en informatique
- Bilingue anglais et français
- Expérience en administration
- Expérience en Petite Enfance un atout
