The Document Control Administrator is located in Scarborough, Ontario and typically reports directly to the Division Manager. Their primary focus is Document Controls related to civil utilities construction projects. Duties and responsibilities include but are not limited to:
- Document management (logging transmittals, downloading/uploading documents to project site, confirmation of documents, distribution of documents) using project platforms
- Assisting with project specific tasks (drawings, packages, transmittals, etc.)
- Maintain distribution logs
- Maintain Quality Records
- Clerical support in the development of QA procedures
- Ensure quality documentation and records are organized for quality program audits.
- Maintain qualification records for inspection & test personnel
- Generating/maintaining process charts using Visio program
- Controlling documents (e.g. Standard Quality Forms, Standard Quality Procedures)
- Archiving history dockets and storage
- Provide direct administrative and office management support to all members of the project team
- Review documents, reports, and correspondence prepared for management signatures for format, content, grammar, spelling and make edits as necessary
- Prepare draft reports, background documentation, and research
- Greet new hires and direct them to training
- Issue new hire paperwork to new employees
- Assisting new hires with setup
- Collect completed new hire paperwork

**EDUCATION REQUIREMENTS**
- Post-Secondary Diploma in Business Administration, or relevant discipline
- Secondary school diploma
**WORK EXPERIENCE REQUIREMENTS**
- Previous Document Control experience required
- 2-4 years' experience in an administrative role preferred
**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**
- Strong knowledge of office procedures and practices
- Strong analytical and critical thinking skills
- Intermediate Knowledge of MS Office (Excel, Access, Word, PowerPoint, Visio)
- Knowledge of Sharepoint and Document Control Management systems
