The Administrative Assistant is located in Scarborough and typically reports directly to the Operations Manage. Duties and responsibilities include but are not limited to:

- Entering timesheets
- Processing expenses
- Assisting in Proposal Preparation, preparing construction schedules and monitor progress
- Assist the project managers to ensure project objectives, policies, procedures, performance standards are in accordance with company policy and contract specifications are met
- Assists in budget analysis, cost projections, estimate project changes and impacts
- Support the project managers to ensure effective project management and controls are in place
- Assist in monitoring project costs, forecast and updating the project plans
- Assist in planning and preparing construction schedules and milestones
- Purchase orders
- Ordering material and supplies
- Document controls
- Change order controls
- Requesting subcontractor PO's from legal department
- Maintain and prepare reports from manual or electronic files, inventories, mailing lists and databases
- Maintain control of project info related to multiple project linkages
- Order office supplies, service office equipment and arrange for servicing in the case of major repairs
- Assist with proposals, estimates and bids
- Update and revise necessary documentation and information on SharePoint
- Other duties as required

**EDUCATION REQUIREMENTS**
- High School Diploma
- Degree or Diploma in Office Administration or related would be considered an asset

**WORK EXPERIENCE REQUIREMENTS**
- 5 years in an office environment in an administrative project coordination role
- Experience in the construction sector is considered an asset

**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**

Proficient knowledge and understanding of:

- Organization and time management
- Work well under pressure
- Meet all deadlines
- Ability to multitask

Proficient user of:

- MS Office (Word, Excel, Project)
