**ABOUT THE ORGANISATION **Tropicana Community Services, a Toronto-based multiservice organization, provides all youth, newcomers, people of Black and Caribbean heritage and others in need with opportunities and alternatives that lead to success and positive life choices. Our mission is achieved through culturally appropriate programs such as counselling, childcare, educational, and employment services and youth development.

**ABOUT THE POSITION** Reporting to the Head, People Operations, the HR Administrator is responsible for providing a full range of support to the HR team, contributing to the smooth operations of the department. The incumbent is the first point of contact to employee inquiries, and a major support for HR Operations.

**AREAS OF RESPONSIBILITIES**
- Open and distribute regular and electronic incoming mail and other material and coordinate the flow of information.
- Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy.
- Advise senior management
- Perform data entry
- Liaise with management, employees, and department heads.
- Schedule and confirm appointments and meetings for management.
- Answer telephone and electronic enquiries and relay telephone calls and messages
- Set up and maintain manual and computerized information filing systems.
- Determine and establish office policies and procedures.
- Record and prepare minutes of meetings.
- Collaborate with various teams to respond to ongoing queries and issue resolutions
- Perform work in compliance with statutory requirements, including all applicable Occupational Health and Safety legislation, Freedom of Information and Protection of Privacy Act, and policies and procedures
- Compile data, statistics, and other information to support research activities.
- Organise seminars and conferences.
- Assist with special projects and conduct research.
- May supervise and train office staff in procedures and in use of current software.

**SKILLS AND QUALIFICATIONS**
- Post-secondary degree/certificate program in Human Resources Management, or equivalent education
- Minimum of one year to less than two years experience in an HR role, particularly in an Unionized environment would be an asset
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task under pressure and with time-sensitive deadlines
- Proactive, results-oriented and high attention to details
- Proficiency in using Microsoft Suite such as: Outlook, Word, Excel, PowerPoint, and experience with an HRIS, staff schedule system and online training software would be considered an asset
- Knowledge of relevant legislation is an asset
- Willingness to grow with the company
- Flexibility with hours required
- Satisfactory Vulnerable Sector Screening (Police Check)
- Evidence of COVID-19 vaccinated (unless exempt)
- Proven ability to analyze and develop efficient office and administrative processes
- Ability to understand board governance and structures of the non-profit environment
- Knowledge and understanding of issues and concerns faced by the Black, African and Caribbean Communities in Canada
- Solid conflict resolution skills, ability to effectively deal with employee complaints or concerns
