**Job brief**
We are looking for an Executive Assistant to the CEO and COO to perform a variety of administrative and clerical tasks. Duties of the Executive Assistant include providing support to the CEO and COO and assisting in daily office needs and managing our company's general administrative activities.
**Responsibilities**
- Welcome clients and guests
- Organize and schedule appointments
- Work with confidential information
- Plan meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies
- Maintain contact lists
- Book travel arrangements
- Organize Company and Staff events
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executives to handle requests and queries from the CEO and COO
- Assist with HR Functions, including scheduling interviews, follow ups, and onboarding
- Assist with management of all insurance related functions.
**Requirements**:
- Proven experience as an Executive Assistant
- Knowledge of office management systems and procedures
- Proficiency in MS Office, Excel
- Proficiency in Quickbooks
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
