Special Accounts Coordinator

We are currently seeking a Special Accounts Coordinator to join our team working out of our Langley Collaboration Centre.
Under managerial direction, participates in the delivery of internal service excellence by providing administrative support to the Special Accounts team (commercial and retail lines of business). This role provides Tier 1 expertise and customer service support to employees using a multi-channel environment working within a service escalation process. This position is responsible for providing clerical and administrative support for delinquency management, risk assessments and compliance, internal communications, basic risk investigation searches and for responding to routine requests and inquiries. Sustains the department’s role within the Credit Union and contributes to the creation of an environment that supports teamwork, collaboration and the achievement of results within the Special Accounts Department.
**Here’s what would be included as a part of your typical day**
- **General Administrative Support**: Provides administrative support for the Special Accounts department for all regions ensuring all administrative duties are completed accurately and in a timely manner. Coordinates payment of invoices, sorts and distributes mail, completes filing and uploading of documents to our collection system.
- **Collection Support**: Reviews delinquent accounts for available funds and posts payments accordingly, completes daily posting of all payments, reviews daily overdraft queue for all Special account team members. Supports with management of staff delinquency reporting.
- **Report Management and Distribution**: Complete all regulatory and non-regulatory reporting for Management Credit Committee, FICOM and Executive management within required timeframes (around 27 reports in total). Provide administrative support by reviewing all reports for accuracy, obtaining required signing authorities, and creating new reports as required with emphasis on accuracy and data integrity.
- **Write off Management**: Completes write off process in WB banking system for accounts managed by Special Accounts. This includes entering accounts on monthly write off report, posting transactions in WB, updating member’s retail credit bureaus, assigning collectable accounts to 3rd party collection agency and obtaining required signatures for write off approvals required by FICOM.
- **Team Support**: Provide support and document retrieval for delinquent and RR40 & RR50 accounts, including credit bureau, title search, Landcor value, property tax, court orders, and Bankruptcy & Consumer Proposals. Manages Outlook Task Diary for department including payment arrangements, 3rd party assignments, matured mortgages, and reporting requirements.
- **Service Delivery**:Responds to Tier 1 enquires from leaders and employees through a multi-channel environment. Answers questions, deals with requests and/or refers individuals to the internal expert or online resource. This role provides templated and standard responses while troubleshooting and seeking answers with best practices in adherence with predetermined service levels.
**Required Skills, Experience & Qualifications**
- High school diploma and completion of a Certificate (1 year or less) or equivalent combination of education and experience required
- 2 years related experience in the financial industry or equivalent combination of education and experience required
- Knowledge of loan administration/documentation would be an asset
- Ability to work cooperatively in a team environment
- Aptitude for attention to detail and a high degree of accuracy
- Ability to anticipate needs, determine priorities, and respond appropriately while maintaining strict confidentiality
- Demonstrated interpersonal skills and the ability to develop and maintain good working relationships with staff and vendors
- Demonstrated organizational and time management skills
- Proficiency in MS Office programs including Word, Excel and PowerPoint
- Displays an understanding of risk and risk ownership by being able to demonstrate adherence to policies and procedures.
