**Job Overview**
The Administrative Assistant serves as the first point of contact for our office, either in person, on the phone or online inquiries. This position is essential to ensure the smooth operations of our IT office.

**Key Activities & Responsibilities**:
**Customer Service**:

- Schedule client appointments, manage client drop-off and pickup of IT equipment.
- Monthly Client follow-up and check-ins.

**Office Management**:

- Organize and maintain the IT office space, including managing inventory of office supplies and equipment.
- Receiving mail and packages.
- Perform clerical tasks such as scanning, filing, data entry, and maintaining organized records.

**Documentation**:

- Client data entry and record keeping.
- Preparing and sending client service agreements.
- Assist in the maintenance of technical documentation (SOPs).

**Support IT Staff**:

- Coordinate meetings, manage staff calendars appointments and on-call schedule, and ensure timely reminders.
- Prepare staff mileage reports.
- Prepare various weekly reports.

**Entry-Level Bookkeeping**:

- Prepare deposits and record & send receipts.
- Follow-up with clients on outstanding accounts.
- Assist clients with incoming payments.
- Send client statements.
- Assist clients with basic A/R inquiries.

Other administrative duties as required.

**Qualifications**
- Proven experience as an administrative assistant or in a related clerical role is preferred.
- Familiarity with QuickBooks is a plus but not required.
- Excellent proofreading skills with a keen eye for detail.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Exceptional communication skills, both verbal and written.
- Experience in an IT office setting is advantageous but not mandatory.
- Ability to work independently as well as part of a team.

**Education**:

- Diploma, certificate, or degree in office administration would be an asset; equivalent combination of education and experience will be considered.

**Experience**:

- 2+ years experience in an administrative role,
- Experience in an IT environment will be preferred.

**Skills**:

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Proficiency in QuickBooks Online.
- Experience with ConnectWise PSA (Manage) would be an asset.
- Strong technical aptitude to learn new systems.

- Estimated start date is January 2nd, 2025.

Pay: $45,000.00-$50,000.00 per year
