**Summary of Position**:
The Administrative Assistants to the Calgary office provides support to the management team, other employees, and office visitors by handling a variety of tasks to ensure that all interactions between the organization and others are positive and productive.

**Administrative Assistant Job Responsibilities**

**Office Administration**:

- Provides administrative support to ensure efficient operation of office.
- Schedules meetings and supports visitors.
- Keeps office areas clean including tidying the kitchen and loading/unloading the dishwasher.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- General drop offs, pickups, and errands for office and staff requirements.
- Assisting with time ticket entry and creation as required, as well and filing and storage of time sheets for future reference.
- Purchase Order creations for purchased made both on accounts and credit cards.
- Being point of contact for building management and organizing any in-office repairs with contractors.
- Organize and assist with office events such as team building activities and holiday parties.
- Book flights, hotels, and rental vehicles for staff as required.
- Schedule safety courses and training as required.

**Executive Assistance**:

- Provide daily assistance to the VP.
- Scheduling meetings and booking client lunch reservations.
- Aid with expense reporting and credit card statement reconciliation.
- Inbox and calendar management.
- Taking meeting minutes as required.
- Document formatting as required.

**Finance Administration**:

- Assist to Accounts Payable as required.
- Accurate entry of all time and daily work performed.
- Efficient communication skills to keep managers aware of work status, progress, and project completion.
- Perform other related duties as necessary.

Pay: $20.00-$25.00 per hour
