Wellness Centre Administrative Assistant

**The Position**
Under the general direction of the Wellness Center Manager, the Wellness Centre Administrative Assistant is responsible for providing day-to-day administrative support to the Shishalh Nation Wellness Centre. The impact of the position directly impacts the efficiency and effectiveness of the center's operations. Errors or lack of attention to detail may result in delays, misinformation, or miscommunication, affecting the overall functioning of the Wellness Centre.
- Assist with general administrative tasks, including filing, data entry, and maintaining records.
- Prepare and distribute correspondence, reports and other documents as required.
- Manage appointment scheduling and maintain calendars, including Wellness Centre room bookings.
- Coordinate travel arrangements and accommodation bookings.
- Assist with budget monitoring and expense tracking.
- Submit financial requests for the Wellness Centre team.
- Support with Wellness Centre communication, including advertising & information content for social media platforms & newsletters.
- Ensure all electronic files and records are catalogued by year to provide up-to-date reference materials; this includes supporting all program documentation for Wellness Centre programs to be uploaded into appropriate electronic databases.
- Demonstrate behaviours, actions and attitudes consistent with the Nation’s vision, mission and values.
- Maintain and present a positive and professional image at all times.
- Ensure appropriate communication and consultation with the Supervisor at appropriate times.
- Ensure effective and professional communications with all internal and external service providers, including clients, their families, management, and staff.
- Share information according to privacy and/or confidentiality guidelines.
- Work respectfully, positively, professionally, and collaboratively with team members.
- Must be able to handle sensitive information in a completely confidential manner.
- Perform all other related tasks within the scope of the position and as assigned.
**Experience and Qualifications**:
- A certificate or Diploma in Office Administration would be an asset.
- Three (3) years of relevant administrative experience.
- Experience in a First Nation environment providing Child/Youth Wellness Health services would be an asset.
- Experience working with Indigenous people, organizations, and communities would be an asset.
- Knowledge of shíshálh Nation programs and services or willingness to learn.
- Respect for, sensitivity towards, knowledge and understanding of shíshálh culture and tradition.
- Knowledge of relevant legislative frameworks and policies reflecting current child welfare practices.
- Understanding evidence-informed/evidence-based practices for promoting trauma, attachment, resilience, and wellness-based mental health program services to children.
- Knowledge of First Nation service delivery, customs, and traditions regarding child welfare concerns.
