Administrative Assistant

**Duties and Responsibilities**
- Promptly greets clients in a friendly, professional manner
- Provides excellent internal support and communications
- Answers multi-line telephone in a friendly, professional manner
- Provides administrative support to the Project Management team, including estimates, correspondence, spreadsheets, reports, mail outs, etc.
- Provides back-up relief for the Project Coordinator - working very closely with all Project Managers, Leadhands, running the Company-wide schedule
- Be highly organized
- Maintains administrative data entry, including client information
- Prepares Customs documentation for vessels crossing the border
- Monitors vessel location on our docks and levies moorage charges as required
- Assists with travel arrangements - flights, accommodations, training courses
- Pickups and drop-offs of clients
- Receives payments from clients and payment receipts reconciliation
- Maintains inventory of office supplies, staff clothing and promotional items
- Assist organizing Company events - visiting venues, booking, communicating with staff and venues, shopping and set-up
- Sorts and distributes incoming mail and prepares outgoing mail
- Maintains petty cash and monthly reconciliation
- Maintains camera distribution to staff and uploads files
- Maintains company vehicle log & parking pass log
- Maintains radio license records and audits annually
- Monitors staff in isolation
- Provides general maintenance and troubleshooting of office equipment
- Running errands / banking & ad hoc tasks
- General filing, archiving
- Cover main Reception role when receptionist is away / vacation
**Essential Skills and Abilities**
- Superb communication skills
- Strong writing skills
- Exceptional multi-tasking talent
- Capable of working under pressure and within tight deadlines
- Knowledge of PC and MAC
- Basic bookkeeping
- Comfortable around animals
**Qualifications**
- High school diploma, or equivalent
- Proficient with Office365
- Boating experience an asset but not critical
- Occupational Health & Safety Level 1 or 2 an asset but not critical
- Customer service experience
- Office and/or Reception experience
- Current valid Class 5 Driver’s license
- Exceptional attention to detail
Office/work hours are between 8am - 4:30pm Monday to Friday.
**Compensation**
Competitive with industry standards, based on experience and skillset. The position includes a comprehensive health and benefits package with RRSP after 1 year on staff.
