**KEY WORKING RELATIONSHIPS**

Patent Department, Program Development, Business Development, Team Leaders and All Staff

Assist and provide a range of administrative support to the Manager of Patent Services, VP of Program Development, CTO and other professionals of the
organization.

**ESSENTIAL SKILLS AND QUALIFICATIONS**
- Certificate or diploma in Legal or General Office Administration,
- Paralegal Studies or equivalent.1-3 years of experience as a Legal or Administrative Assistant.
- Previous experience at a law firm or with Intellectual Property with a focus on Patents considered an asset.
- General knowledge of all Microsoft Office programs; in particular, Microsoft Excel and ability to learn new software and technology quickly.
- General knowledge of invoicing and general accounting concepts.
- FoundationIP, Inprotech, Memotech, PATTSY WAVE, SAS, or SQL, would be an asset.
- Excellent interpersonal, communication and organizational skills with a focus on accuracy and attention to detail.
- Ability to work independently as well as a contributing team member.
- Working knowledge of world-wide patent office practice, particularly the USA, European, Chinese, Japanese and Korean systems would be considered an asset.

**KEY RESPONSIBILITIES**
- Review and process various incoming correspondence.
- Maintain database and file management all within a paperless environment.
- Produce various reports for the internal agents and monitor deadlines.
- Prepare and verify formal documents for online filings.
- Prepare and maintain internal procedures for department.
- Review and code incoming vendor invoices.
- Prepare spending authorization forms.
- Maintain the online file system and retrieve files from off-site storage.
- Miscellaneous tasks or projects as assigned.

**Salary**: $53,000.00-$57,000.00 per year

Schedule:

- 8 hour shift
- Monday to Friday

**Education**:

- AEC / DEP or Skilled Trade Certificate (required)

**Experience**:

- Legal or Administrative Assistant: 1 year (required)
- Patent Administration: 1 year (preferred)
- world wide patent office practice: 1 year (preferred)
