Mulgrave is one of Canada's leading independent co-educational pre-K - 12 day schools, serving the North Shore of Vancouver. We are an established IB Continuum World School with a reputation for excellence and innovation. We are now seeking a Administrative Coordinator for our Development Team to start as soon as possible.
**Duties and Responsibilities**:
To provide day-to-day clerical and administrative support with tasks including:
Creating and maintaining accurate, complete, and confidential records of applicant data including both paper and electronic files
Maintaining master enrolment data and related tasks for incoming and departing families
Supporting logistics (RSVPs, nametags, giveaways, etc) and onsite needs (greeting, registration, etc) for department events such as admissions assessment days, open houses, new family onboarding, alumni celebrations, and donor stewardship
Assisting with alumni research
Creating and managing mail merges for print and digital communication
Troubleshooting systems issues and technical challenges for prospective parents and during key activities such as re-enrolment
Creating and updating presentation content for internal and external audiences
Working with data for visual presentations
Basic website updates
Liaising with vendors for procurement of items such as giveaways, alumni packages, etc.
Processing of budget entries, invoices, and expense reports along with periodic reconciliation of accounting records

**Qualifications**:
3-5 years work experience in office and administrative support
Strong working knowledge of databases and proficiency in a Google environment
Aptitude for learning software programmes (training provided specific to Mulgrave's databases)
High level of customer service
Strong organizational, administrative, and interpersonal skills
Ability to prioritise assignments, meet deadlines, multi-task and pay meticulous attention to detail
Ability to work both independently and cooperatively as part of a team
Ability to manage and maintain highly confidential information
Excellent English verbal and written communication skills; additional language an asset
Growth mindset (willingness to learn) and flexibility to jump in as needed
Flexibility to work some evenings /weekends as required and participate in school functions, events, and meetings
