The Administrative Assistant is responsible for a wide variety of administrative duties in support of the President and other executive team members. Responsibilities include arranging travel plans and filing expenses, meeting minute-taking and distribution, scheduling appointments, overseeing calendars, drafting both internal and external correspondence and assisting with ad hoc requests from executives.
**ACCOUNTABILITIES**
- Provide direct administrative and office management support to all members of the executive team, as directed.
- Maintain work schedules and calendars of executive management, particularly the GM
- Prepare travel schedules, book travel arrangements, and make reservations for senior management and executive staff.
- Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events.
- Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
- Prepare draft reports, background documentation, and research.
- Coordinate some office activities.
- Troubleshoot and/or escalate office administration issues.
- Review, evaluate, and distribute priority correspondence for executive team.
- Facilitate communication from department managers, business unit leaders, and project managers.
- Complete expense reports, pay invoices, and other related duties.
- Prepare and review presentations, prepare and distribute executive communications.
- Ensure company’s internal social media is updated regularly with appropriate and consistent corporate communications.
- Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.
- Contributes to the overall functioning of the team by maintaining awareness of best practices/emerging issues, both internally and externally, sharing best practices and building effective working relationships across the team and company
- Organize annual United Way campaigns
- Volunteerism Site Lead - coordinate various activities/events
- Other duties shall be assigned as required.
**SKILLS**
- Strong organizational/time management skills and ability to manage multiple projects simultaneously, with a commitment to meeting deadlines
- Strong communication skills (oral and written), experience working with executive levels
- Strong problem solving skills and flexibility
- Strong knowledge of Microsoft Office, internet search and research skills
- Keen attention to details, high degree of accuracy
- Handles routine and some complex decisions
- Maintains a high level of confidentiality and discretion
