**Salary**: $45,000 to $55,000 per year

Capilano Highway Services (CHS) is a leading highway maintenance and construction company with offices in Sechelt, Powell River and West Vancouver. In collaboration with our trusted partner companies, we manage and maintain over 1,000 kilometers of some of the South Coast’s most vital traffic corridors. These include the Sunshine Coast Highway, Golden Ears Way in Langley and Maple Ridge, the Trans-Canada Highway from Vancouver to West Vancouver, and the Sea to Sky Highway, stretching from Horseshoe Bay to Duffey Lake in Pemberton. Our diverse client base spans from small private entities to large government organizations, such as the Ministry of Transportation and Transit, providing us with an exciting variety of projects that involve unique challenges and specifications.
**Job Summary**
We are looking for someone who is a well-organized, enthusiastic, detail-oriented individual. As a crucial part of our team, you'll be one of the first points of contact for our valued customers, so excellent communication and interpersonal skills are a must. Your role will involve supporting various departments with administrative duties, ensuring operations run smoothly in a dynamic, fast-paced industry. We are seeking someone who can bring a high level of professionalism, organization, and energy to our team. Please note this is an 18-month maternity leave coverage role, with the potential to be extended if both parties agree.
**Key Responsibilities**
- Payroll Support_
- Input employee timecards into the payroll database daily
- Assist in processing and managing employee leave requests
- Determine eligibility and overtime parameters based on the employee agreement
- Support payroll processing and submission when requested
- Accounts Receivable_
- Assist with drafting and preparing invoices for internal approval
- Assist with taking payment on invoices, and posting into our internal database
- Assist with following up on late payments with clients
- Assist with posting invoices into internal database
- Assist with creating intercompany invoices
- Assist with snow removal contracts and liaison with customers
- Assist with monitoring the receivables inbox
- Accounts Payable_
- Assist with organization of invoices
- Assist with posting invoices into database when requested
- Administrative Duties_
- Manage and enter vehicle repair sheets from mechanics into internal database
- Assist with answering the phone and reporting public communication records
- Other various tasks as requested
**What We Are Looking For**
- At least 2 years of experience in an administrative role
- Experience in Construction or Highway Maintenance is a bonus
- Post‐secondary education in business administration or a related field
- Proficiency in MS Office, particularly Word and Excel
- Strong written and verbal communication skills
- Impeccable organizational skills with the ability to multi‐task
- A proactive team player with a growth mindset, eager to contribute and develop alongside the team
