We seek excellent students, faculty, and staff to join us in what has become known as the "Western Experience" - an opportunity to contribute to a better world through the development of new knowledge, new abilities, new connections, and new ways to make a difference. **About Us**: The mission of the Department of Obstetrics & Gynaecology is to promote excellence in-patient centred care for women and their families together with our healthcare partners, and through education and research relating to all aspects of women’s healthcare. **Responsibilities**: The Administrative Assistant reports to the Manager, Administration & Finance, and will support the smooth and effective operations of the Department. The Administrative Assistant will provide administrative expertise and support for the Director, CME and Co-Chairs, Research, the Continuing Medical Education (CME) program and the Research Committee, including the scheduling of speakers, coordinating major educational events, and assisting with scholarship administration in the Department of Obstetrics & Gynaecology, Schulich School of Medicine & Dentistry (SSMD). The role will assist in maintaining the Department’s website and will also provide support for the Acuity STAR system as our STAR CV coordinator. The Administrative Assistant will also work closely with the Department’s Program Assistants to assist with the delivery of education programs by providing administrative support (e.g. downloading evaluation data, proctoring examinations, setting up teaching activities and events, coordinating meetings and ordering catering services, and facilitating the preparation of materials). **Qualifications**: - Education: - 2 year Community College Diploma with a major in Business Management/Administration or related field - Experience: - 3 years’ experience in an academic environment providing administrative support - Knowledge, Skills & Abilities: - Influential interpersonal skills that build positive and strong relationships at all levels of the department (leadership, faculty, staff and students) as well as external stakeholders/agencies (Western hospital communities, Dean’s office, post graduate office) - Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience - Self-motivated with strong organizational skills to maintain an effective personal work environment - Highly proficient with the ability to coordinate a variety of activities on a daily basis, in a fast-paced, demanding environment - Proven attention to detail and aptitude for accuracy and thoroughness - Diplomatic and proactive with an ability to work independently as well as within the administrative team - Ability to work and interact with a diverse multi-disciplinary team (e.g. physicians, students, administrative staff) - Computer skills to troubleshoot issues relating to software and hardware - Intermediate computer skills in Microsoft Office products (Word, Excel, Power Point, Outlook) and Adobe Acrobat - Ability to multi-task and prioritize work systematically and be able to work with mínimal supervision - Flexibility to work outside of regular business hours to accommodate department events and activities, and travel on occasion (such as 7 am or 5 pm) **Union Statement**: **Western Values Diversity**: **Please Note**: We thank all applicants for their interest; however, only those chosen for an interview will be contacted.
