The Administrative Assistant is responsible for providing high quality administrative and project support for the organization.
**You would**
- Provide administrative and project support to various departments within the organization including:
- Answering telephone calls, giving appropriate information to callers or transferring them to the appropriate office. Answering and screening calls as required.
- Preparing and distributing correspondence, presentations, reports, and other documents.
- Taking and transcribing dictation. o Coordinating schedules and making appointments.
- Coordinating conference calls.
- Providing project support as required.
- Organizing and maintaining of filing system.
- Receiving and distributing incoming mail as required. Assisting various departments with mail-outs.
- Ordering office supplies and maintaining office supplies inventory.
- Other general office administration
- Coordinate all travel arrangements and reservations as required including travel schedules, hotel reservations, conference fees and registrations, car rentals, etc. for any meetings, training, functions or conferences.
- Coordinate and arrange meetings, training sessions and other functions; prepare agendas; reserve and prepare facilities; coordinate catering arrangements; and provide assistance to presenters/facilitators in terms of resources and other requirements.
- Provide support through preparing and distributing meeting agendas and materials relating to the Board and Board Committees as required.
- Complete other duties and projects as assigned.
**You have**
- Successfully completed a diploma in Office Administration plus have three to five years related experience and/or training; or equivalent combination of education and experience.
- Strong organizational skills with the ability to work with changing priorities and deadlines.
- Knowledge of Microsoft Office programs.
- Excellent communication skills, both oral and written.
- Demonstrated tact and discretion in preparing, disclosing and handling information of a confidential and sensitive nature.
