- Greet customers and visitors warmly, providing assistance as needed.
- Sort and distribute incoming mail, faxes, and courier deliveries.
- Prepare and send outgoing faxes, mail, and courier shipments.
- Organize and schedule meetings and appointments.
- Maintain and update the organization's databases and contact lists for accuracy.
- Enter inventory data into the inventory system.
- Create quotations, invoices, and purchase orders using Canaweld's software.
- Cooperate with the accounting team to finalize invoices and purchase orders.
- Collaborate with the marketing and IT teams to resolve issues related to administrative software.
- Arrange all shipping logistics for customer orders.
- Assist with PDF Pro tasks, including simple design and editing of PDF files.
- Order office supplies as needed to ensure efficient operations.
- Develop and maintain an efficient filing system.
- Coordinate maintenance and repairs of office equipment.
- Provide general support to visitors, clients, and suppliers.
- Participate in trade shows as needed, assisting the office in preparing all trade show registrations and logistics.
- Assist managers with various tasks and help other employees when requested.
- **Skills & Qualifications**:
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficiency in MS Office/Outlook.
- Proficiency in the use of office equipment (multi-function printer/fax/scanner)
**Experience Required**:
- Proven administrative or assistant experience
Pay: $19.00-$23.00 per hour
Schedule:
- Day shift
- Monday to Friday
Work Location: In person
Expected start date: 2025-03-10
