The Administrative Assistant is located in Scarborough and typically reports directly to the Division Manager. Duties and responsibilities include but are not limited to:
- Entering timesheets
- Locate request submission and tracking
- Processing expenses
- Assisting in Proposal Preparation, Estimates, and Bids
- Purchase Orders
- Ordering material and supplies
- Document Controls
- Change order controls
- Requesting Subcontractor PO's from Legal Department
- Maintain and prepare reports from manual or electronic files, inventories, mailing lists and databases
- Coordination with Garage for gas cards, insurance slips etc
- Update Sales Force log on monthly basis
- Inventory report reconciliation
- Setting up and organizing meetings for DM
- Order office supplies, service office equipment and arrange for servicing in the case of major repairs
- Update and revise necessary documentation and information on SharePoint
- Other duties as required.

**EDUCATION REQUIREMENTS**
- **High School Diploma**:
- ** Degree or Diploma in Office Administration or related would be considered an asset**
**WORK EXPERIENCE REQUIREMENTS**
- 1-5 years in an office environment in an administrative role
- Experience in the construction sector is considered an asset
**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**
Proficient knowledge and understanding of:
- Organization and time management
- Work well under pressure
- Meet all deadlines
- Ability to multitask
Proficient user of:
- MS Office (Word, Excel, Project)
- JD Edwards or an Oracle-based ERP system considered an asset
