**POSITION OVERVIEW**

If you're a proactive problem solver with a knack for managing multiple priorities and a strong attention to detail, this role offers the opportunity to be at the heart of a dynamic and growing team.

**KEY RESPONSIBILITIES**
- Oversee and maintain general office operations, including supplies, filing systems, scheduling, and reception duties.
- Provide administrative support to the project teams, senior staff, and other departments.
- Assist with basic bookkeeping tasks, including invoice tracking, expense reporting, and vendor coordination.
- Manage and oversee both personal and company expense tracking and reconciliation.
- Support data entry and record keeping using **Excel** and accounting systems.
- Coordinate meetings, internal communications, and document management.
- Maintain digital and physical filing systems in compliance with company procedures.
- Liaise with external vendors, service providers, and clients professionally
- Support onboarding and office orientation for new employees.
- Work directly with the CFO to evaluate and implement new software tools to improve operational efficiency, playing a key role in the transition and integration process.
- Contribute to a positive and efficient office culture by managing logistics and daily needs proactively.

**QUALIFICATIONS & SKILLS**
- Proven experience in an administrative, office management, or coordinator role.
- Excellent organizational and time-management skills, with the ability to multitask and prioritize under pressure.
- Strong communication and interpersonal abilities.
- Proficient with **Microsoft Excel** (data entry, formatting, basic formulas).
- Experience with **QuickBooks Online** is an asset.
- Familiarity with construction or project-based environments is a plus.
- Comfortable working independently and collaboratively in a fast-paced setting.
- High level of professionalism, discretion, and attention to detail.
- Post-secondary education in administration, business, or a related field is preferred.
