Position Overview

The Administrative Assistant provides administrative support to the Chief Human Resources Officer, and senior staff to assist with daily workloads including confidential employee matters, labour relations files and recruitment.

Responsibilities- General office duties include scheduling meetings, conferences, training and maintaining confidential employee files- Provide backup support to HR Coordinators as needed- On a rotating schedule provide in person HR support- Respond to HR Inbox and phone inquiries ensuring efficient internal and external customer service- Schedule interviews and maintain recruitment related documentation- Support labour relations by scheduling grievance meetings, mediation hearings and arbitration with the 4 union locals including securing and scheduling off-site accommodations as needed- Liaise with Union and management and maintain and track all labour related files;- Assist Specialists, Recruitment & Recognition with annual Recognition Programs awards and events, including liaising with vendors, catering, and coordinating lists of recipients and mailing lists-
- Track expenses, including payment and tracking of multiple invoice expenses- Ordering department supplies and tracking department assets- Other duties as assigned.

Requirements

The Administrative Assistant requires a high school diploma and a post-secondary diploma in office administration, or a related field is preferred. The successful incumbent requires 4 to 7 years of related administrative experience; along with excellent customer service, time management, prioritization, and organization skills. A strong computer aptitude (MS Suite; Workday) is needed and experience working with highly confidential information and/or Human Resources/recruitment/labour relations knowledge is strongly preferred. Municipal experience is also considered an asset.
