Reporting to the Strategic Executive Assistant (SEA), the Administrative Assistant is responsible for providing support to the SEA and Executive / Senior leadership team. The Administrative Assistant ensures the phone is answered and that visitors are greeted and registered, office activities are coordinated, office correspondence is managed, and colleagues are assisted when necessary. The Administrative Assistant will also manage the office by ensuring company operations run smoothly.

What You’ll Do
Office Administration
- Acts as a point of contact for visiting employees, contractors, and service providers (postal, deliveries, courier etc.)
- Greets all visitors and manages people movement throughout the corporate office
- Handles all incoming calls for the corporate office
- Communicates office updates (and other announcements) as required
- Liaises with colleagues to handle requests and queries at the corporate office
- Coordinates maintenance and repairs for corporate office and equipment as required
- Main point of contact for janitorial, maintenance, security and service vendors for the corporate office
- Orders office supplies (stationary, coffee, paper, printer cartridges)
- Manages the office (general building coordination, brewing coffee, confidential recycling, etc.)
Accountabilities
- Supports SEA and Senior Leaders daily, and Executives as required.
- Effectively manages priorities in order of seniority of the requestor, direction from SEA and executive team, and deadlines.
- Handles competing demands and interruptions in a professional manner.
- Provides ‘better than expected’ level of customer service to visiting employees, contractors and service providers.
- Establishes strong relationships by building rapport, becoming familiar with and consistently delivering on the specific needs, expectations, and requirements of leadership, managers, employees, visiting employees, contractors and service providers.
- Responds to messages, calls, and requests in a timely manner and be available in case of urgent requests.
- Methodically completes tasks and has ability to refocus when pulled away.
- Other related duties as assigned.
What You’ve Done
- High School Diploma or equivalent
- 5 years’ experience in an administrative role
- Experience with travel booking
- Proficiency in MS Office
- Concur experience would be an asset
- Attention to detail and problem-solving skills
- Advanced written and verbal communication skills
- Excellent time management skills and ability to prioritize work
- Strong organizational skills and ability to multi-task
- Outstanding communication and interpersonal abilities/skills
