Administrative Assistant

Job Overview:
**Responsibilities**:
**Clerical / Office Administration**:

- Answer and direct phone calls in a professional manner.
- Coordinate and schedule appointments, meetings, and travel arrangements.
- Assist in the preparation of presentations, reports, and documents.

**HR Support**:

- Assist with onboarding new employees and maintaining personnel records.
- Coordinate employee training sessions and events.
- Assist in updating HR policies and procedures as needed.
- Assist in keeping record of equipment tracker and documentation
- Assist in keeping record of Sick days, PTO,
- Upkeep the nominal roll form, to ensure employee information is up to date.
- Assist in any HR related process as needed.

**Recruiting**:

- Post job openings on various platforms and screen incoming resumes.
- Provide updates to senior team members on an ongoing basis.
- Assist in conducting background checks and reference checks.
- Maintain recruiting databases and track recruitment metrics.
- Attend weekly meetings with recruiting team.

**Accounting**:

- Assist with basic accounting tasks such as invoicing, billing, and expense tracking.
- Collaborate with the finance team to ensure accurate record-keeping.
- Support the Financial Accountant and CFO as required.

**Create Reports**:

- Compile data and generate reports using Microsoft Office or other software.
- Analyze report findings and present information to relevant stakeholders.
- Ensure report accuracy and compliance with company standards.

Qualifications:
**Education**:

- High school diploma or equivalent required.
- Associate's or Bachelor’s degree in Business Administration, Human Resources, Accounting, or a related field preferred.

**Experience**:

- Previous experience as an Administrative Assistant, Office Manager, or in a similar role is preferred.
- Experience in HR support, recruiting, or basic accounting tasks is a plus.
- Familiarity with NetSuite or other ERP systems is an advantage.

**Skills**:

- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Basic understanding of accounting principles and practices.
- Ability to maintain confidentiality and handle sensitive information.
- Proactive and able to work independently with mínimal supervision.
- Strong interpersonal skills and the ability to work effectively with diverse teams.
