Sales and Event Coordinator

**Overview**:
We are seeking an experienced sales and in-house event coordinator.
**Key Responsibilities**:
- **Sales Generation**:
- Identify and target key market segments to generate leads for events like conferences, weddings, meetings, and social gatherings.
- Conduct site tours of the hotel facilities, highlighting features and capabilities to potential clients.
- Develop and maintain relationships with local businesses, event planners, and associations to source new leads.
**Event Planning and Coordination**:
- Create detailed event proposals outlining event details, pricing, and catering options based on client requirements.
- Manage event contracts, ensuring all terms and conditions are clearly defined and adhered to.
- Coordinate with various hotel departments (catering, banquet, front desk, maintenance) to ensure seamless event execution.
- Monitor event timelines and budgets, addressing any potential issues proactively.
**Client Management**:
- Provide excellent customer service throughout the event planning process, addressing client inquiries and concerns promptly.
- Regularly communicate with clients to keep them updated on event details and progress.
- Conduct post-event follow-ups to gather feedback and maintain relationships for future business.
**Administrative Tasks**:
- Maintain accurate records of event bookings, client information, and sales data in the CRM system.
- Complete invoicing and ensuring transactional accuracy.
- Prepare sales reports and presentations to track performance and identify sales opportunities.
- Completing invoicing and payment followup.
**Required Skills**:
**Strong Communication Skills**: Excellent verbal and written communication to effectively interact with clients, vendors, and internal teams.
**Salesmanship**: Ability to build rapport, negotiate contracts, and close deals.
**Organizational Skills**: Efficiently manage multiple events simultaneously, prioritize tasks, and meet deadlines.
**Attention to Detail**: Ensure accuracy in event planning, contracts, and client information.
**Customer Service Focus**: Deliver exceptional service to clients throughout the event planning process.
Relevant Experience:
- Previous experience in hotel sales, event planning, or a related hospitality role.
- Knowledge of local event venues, vendors, and market trends.
- Proficiency in CRM software and Microsoft Office Suite.
