- Title: Office/Executive Assistant
- Reporting Manager: President, Southwire Canada
- Hours of work: 8:30 - 5pm daily (Monday to Friday in the office)
- Location: Mississauga Cancross Office is primary, functional support of Mississauga CSC.

**Southwire Job Description**:
**Primary Functions**

**Canadian Leadership Team (CLT)**
- Supporting the President on day to day functions and managing their calendar and travel.
- Managing of CLT travel and expenses; makes travel reservations, offers competitive options, car service, restaurant reservations, etc. Expenses to be completed and sent for approval one week after receiving monthly BMO invoice.
- Administrative support within the CLT functional areas as per the priorities of the business determined by direct manager

**Front Reception at Cancross Office**:

- The first point of contact to create an experience for Southwire visitors and guests; managing meeting set up in conjunction with meeting hosts. This may include:

- Customers of Southwire - set up, and clean up
- Vendors - Schedule, liaise, and manage outcome- Meeting coordination and set-up

**Office Management for Cancross and Mississauga CSC**
- Ensure the kitchen, board rooms and office shared areas are maintained, clean and organized; ensure lights and televisions are off in shared spaces at the end of each day
- Ordering and maintaining inventory of all office supplies, coffee, snacks and other various items in an efficient manner and within budget
- Facilitate all catering requests for internal and external meetings as per budget (maintain list of preferred vendors and rates)
- Work with property management for building maintenance issues
- Oversee contract and price negotiations as per budget with office vendors and providers; source out preferred suppliers and obtain price quotes for office enhancements and projects
- Execute and manage all office procurement, and invoicing for AP vendors for on time payment
- Send and receive incoming/outgoing parcels and corresponding supplies
- Building alarm access codes and setup as required

**IT Coordination**
- Manage in-house IT inventory (laptops, monitors and accessories)
- Coordinate offsite IT calendar
- Manage Canadian Cell phone program in collaboration with IT

**Committees & Administration**
- Shared Services member of SWC Social Committee - assist in planning and execution of company social events within budget
- Joint Health and Safety Committee Lead, and Chief Fire Warden
- Organize miscellaneous collateral for office, which may include: employee and customer gifts, flowers, cards, etc.

New Hire coordination and onboarding in partnership with People & Culture and Hiring Manager.- All other responsibilities as required by direct manager and Leadership
