The **Coordinator, Quality, and Service,** plays a pivotal role in ensuring quality milestone tasks are accurately coordinated, as well as supporting the delivery of exceptional service to Caivan homeowners throughout their home buying journey. This position is responsible for streamlining processes and enhancing the overall customer experience.

Please note: this role is located in the **Greater Toronto Area.**

**The Role**

Quality Assurance:

- Act as the master scheduler for all milestones managed through the Quality Assurance calendar.
- Support production requirements from a Quality Assurance (QA) calendar perspective.
- Optimize scheduling and appointment coordination to maximize the efficiency of resources.
- Internally coordinate Pre-Delivery Inspection information, communications, and documentation.
- Liaise with customers to schedule Pre-Delivery Inspections (PDIs) and PDI sign-off appointments.
- Handle customer inquiries related to PDI, closing, and beyond.
- Step in to conduct overflow of various Quality inspections.
- Manage Quality's closing extension protocol.

Service:

- Process all PDIs, Tarion 30-Day, Year End, and 2-Year claims forms from Builder Link to New Star.
- Coordinate appointments with homeowners and work with them daily to resolve concerns.
- Schedule and gather all necessary documents for all appointments.
- Schedule all service technicians as well as trades for all open claim items.
- Update all technician paperwork and remove completed items from New Star.
- Create and distribute all necessary Purchase Orders for trades.
- Support rapid response to and scheduling of emergency calls.
- Prepare all documentation and schedule Conciliations.
- File all necessary forms on NSE Web and in the lot file.
- Generate and distribute an exterior pending list to the Service Manager.
- Send out homeowner memos at vital times (e.g., curb, driveway, sod install).
- Issue Purchase Orders as required, including for site supplies and trailer operation per the Service Manager.
- Utilize Tarion's Construction Performance Guidelines (CPG) for accurate documentation of issues.
- Perform any other duties as required.
- Perform any additional duties as required to support the smooth operation of quality and service functions within Caivan.

**You Will Bring**:

- Post-secondary education in business administration or a related field
- Minimum of 2 years of experience in a similar position, residential Midrise and Highrise experience an asset
- Proficient knowledge of and experience working with Tarion
- Ability to multitask and manage multiple accounts and projects simultaneously.
- Strong attention to detail and quality, with an understanding of new home construction fit and finishing.
- Comfortable using technology, including conducting inspections using a tablet.
- Experience in scheduling and coordination.
- Excellent communication skills to enhance the customer experience.
- Meticulous attention to detail, innovative thinking, and problem-solving abilities
- Capable of working independently with mínimal supervision and collaboratively as part of a team
- Highly motivated with a proven track record of providing outstanding customer service.
- Previous NewStar experience an asset.
