The Event Services Coordinator supports RBCPL’s strategic direction supporting the delivery of exceptional guest experiences. With knowledge of the hospitality industry, exceptional administrative skills and understanding of team dynamics, the incumbent supports the ES team directly to execute highly rated RBC Place London experiences.
Reporting Relationship: Reports directly to the Manager, Event Services. In absence of Manager, reports to Senior Supervisor, Event Services.
**Responsibilities - Nature and Scope**:
- Exceptional Guest Experiences_
- Participate in departmental meetings as required.
- Coordinate event details as directed and instructed by ES Manager and Supervisors
- Coordinates event details with various departments regarding event setup, equipment and food and beverage requirements to execute an exceptional guest experience.
- Supports unified look of ES team ensuring uniforms are available in various sizes by monitoring inventory.
- Development and Engagement of Event Services Associates_
- As a member of the event services team, supports all departments by effectively identifying and communicating opportunities and challenges.
- Assist Human Resource Manager with recruitment of new hires and orientation.
- Coordinate scheduling of agency supports.
- Manage Daily Administrative Responsibilities_
- Ensure open and effective communication is maintained between ES associates and with all departments.
- Coordinate weekly event services team scheduling as well as temporary agency associates and communicate schedule to event services team members responding to all questions in a timely manner.
- Maintain associate daily attendance records, payroll adjustments and general information in associate files.
- Assist Manager and Supervisors in developing and maintaining an efficient combination of skilled full
- and part-time staff to meet irregular staffing requirements.
- Assist with maintaining the services of staffing agencies while sourcing new contract relationships.
- Communicate with existing agencies to implement service training initiatives to ensure RBCPL service standards are maintained by their associates.
- Represent ES on Health & Safety committee.
- Coordinate orders with outside vendors for maintenance of service & equipment (coffee, linen, uniform).
- Efficient using Ungerboeck to support ES updating event services details as directed.
- Financial Management_
- Maintain guidelines for financial efficiencies as established by Manager when coordinating the ES schedule.
- Maintain records for monthly inventories and beverage cost analysis.
- Assist Manager researching, buying, selling and inventory of beverages and all other supplies.
- Coordinate with Corporate Services in matters pertaining to requisitions.
- Monitor for and adjust as required, accuracy of billing for all services provided to an event.
**Job Skills and Requirements**
- A minimum of two (2) year community college diploma with specialized training and/or experience in hospitality, management or event management required.
- Minimum two (2) years’ administrative experience required.
- Working knowledge of Alcohol and Gaming Commission of Ontario (AGCO) related policies, safe food handling, Employment Standards Act and other employment related legislation including OHSA, Ontario Building Code and Fire Safety Plan an asset.
- MS Office knowledge required.
- Ability to thrive in a high pressure, exceptional guest experience environment required.
- Self-starter with exceptional communication skills required.
**Hours of Work/Working Conditions**
The Coordinator, Event Services will work a variety of hours including days, evenings, and weekends to support the Event Services team. While this is a full-time position, hours will vary and fluctuate from week to week.
The Coordinator, Event Services will work onsite at 300 York Street, London.
**Total Compensation**
Hourly Start Rate: $23.00
After 400 Hours Worked: $23.75
