**JOB DESCRIPTION**
Reporting to the Controller, the Office / Accounting Administrator will be responsible for providing general office and reception support to the company and preparing and processing incoming and outgoing payments in accordance with prescribed procedures and guidelines.
**WHAT WILL YOU DO?**
Office Management
- Act as first point of contact for visitors and callers to the company.
- Ensure personnel files are organized and maintained.
- Provide orientation to new hires including completion of paperwork and training as needed.
Accounts Payable / Receivable and Accounting Administration
- Receive, process, verify and post details of business transactions, such as funds received, disbursed, and totals accounts to ledgers and databases.
- Match, batch, and code vendor invoices.
- Proactively monitor and follow up on outstanding amounts.
- Prepare and maintain report of payments received.
- Process invoices and credit card reconciliations, including matching POs and requisitions, in order to ensure on time payment.
- Prepare and maintain reports tracking costs.
- Investigate and resolve purchase order, contract, invoice or payment discrepancies.
- Support with various payroll related tasks such as verifying data, supporting the preparation of payroll documents / reports / calculations and benefits administration as needed.
**WHAT DO I NEED TO SUCCEED?**
- Degree, diploma or relevant certificate in Business Administration or Accounting.
- More than five (5) years of related experience in accounting administration and AR/AP.
- Familiarity with applicable federal, provincial and municipal legislation.
- An equivalent combination of education and experience, or training may be considered
- Ethical behavior when dealing with sensitive financial information.
- Ability to perform a range of mathematical calculations quickly and accurately.
- High level of accuracy and efficiency.
- Excellent organizational skills and attention to detail.
