**Job Summary**:
Our Calgary, AB branch is currently seeking an Administrative Coordinator to join our team. We’re looking for a self-motivated, personable, and enthusiastic individual who enjoys interacting with customers and working in a fast-paced office environment. The Administrative Coordinator will provide support to the Branch Manager, Operations Managers, and any other staff that requires administrative assistance. Minimum 3 years of work experience in an administrative role within an industrial work environment is required.
**Main Responsibilities**:
- Answer all incoming phone calls in a prompt and professional manner, assist the caller with any queries or redirect call to appropriate personnel.
- Assist with invoicing and inventory receiving when necessary.
- Type correspondence, reports and other documents as needed.
- Scanning and Data Entry
- Provide administrative support to staff.
- Coordinate repairs to office equipment.
- Sort, record and distribute all incoming and outgoing mail and other correspondence.
- Match invoices and receiving reports in a timely manner to be approved by appropriate personnel for furtherance to Head Office
- Assist with accounts receivables.
- Assist Inside Sales when required.
- Assist with ISO - Quality Control administration such as generating and assigning Issue Tickets, follow up with open Issues, and taking and distributing ISO meeting meetings as needed.
- Preparing work orders for invoicing once shipped.
- Submitting Employee Expense Reports as required.
**Qualifications**:
- Administrative: 3 years (required)
- Proficiency in MS Word, Excel, PowerPoint, Projects, Outlook
- Minimum 3 years of experience working in an industrial and/or field service company.
