Responsibilities include creating and maintaining files, following up on outstanding documentation from participants, staff, and employers, supporting staff training and program promotion, reviewing expense claims, tracking supplies and inventory, distributing program materials, assisting with travel arrangements, and completing other projects as they arise.In this role you will: Provide administrative support to the Regional Coordinators and National Coordinator to ensure effective program operations. Collaborate with other Administrative Coordinators across the country to share best practices and support national initiatives. Assist the Regional Coordinator with staff training logistics and delivery of selected training sessions, as well as program promotion. Assist the National Coordinator with organizing travel arrangements for staff and program activities. Communicate with staff and employers regarding outstanding forms and expense claims to maintain accurate records and timely submissions. Conduct program-monitoring visits once or twice per summer to assess program delivery and compliance. Perform other duties as assigned. Mandatory Training and scheduled work days:  Three mandatory training sessions will take place. The first will occur over a weekend in January. The second session will take place over a weekend in early March and the third in early May. Exact dates will be confirmed at the time of hiring. Trainings are held in-person and may require travel within Canada for two to four days; all costs related to travel and training are paid for by the YMCA. Location, Period of Employment, and Salary:  National Administrative Coordinator must be located in the Greater Toronto Area. Administrative Coordinator for Ontario must be located in the Greater Toronto Area. Administrative Coordinator for Quebec must be located in the Greater Montreal Area. Administrative Coordinator for Western Canada must be location in British Columbia, Alberta, Saskatchewan or Manitoba. Administrative Coordinator will work 15 - 25 hours/week until April 30, increasing to 37.5 hours/week until August 31st. The starting salary is $20.8 per hour. Eligibility: Bilingualism in English and French Currently enrolled full-time in a post-secondary program Available days, evenings, and weekends – must be willing to make the Administrative Coordinator position your primary professional commitment from May 1st to August 31st. Ability to work flexible hours, including days, evenings, and weekends, and to make the Administrative Coordinator position the primary professional commitment from May 1st to August 31st.
