The National Retail Administrator is responsible for providing support to the national retail & head office management team. Included in the duties of this role is the responsibility to support the store management teams across Canada on global system, process, project, and reporting requirements.

**National Sales & Administration**
- Provide administrative support to National Retail Sales and Operations Managers
- IT liaison for global retail IT issues, payment software bugs, ERP-MS Dynamic Nav & projects
- Generate National Retail Operations and Sales reports and provide analytical support.

**Detailed overview of the above Responsibilities**:
**Retail Administration**
- Support the National Retail Operations Manager on retail projects
- Responsible for updating project status dashboard for National initiatives
- Responsible for maintaining 3CX store phone schedules and generating reports for store management teams

**HubSpot Retail Admin**
- Monitor, modify, maintain and assist with the development of HubSpot pipelines
- Create and maintain HubSpot training documentation and playbooks
- Support management by providing HubSpot retail training
- Provide administrative support to HubSpot campaigns and sequences and list membership
- Generate HubSpot sales and service reports for management to mine data insights, customer engagement and consultant utilization
- Create dashboards and produce performance reports for the various levels of management
- Maintain and update the HubSpot customer contacts and CRM database
- Provide administrative support to categorized HubSpot outreach programs

**Retail Reporting & Analytical Support**
- Assist National Sales Manager with Sales projects and reports; Monthly Sales Behaviors, Live Chat Analytics, 3CX Phone Reports, Customer store traffic reporting, HubSpot tickets reports,
- Assist retail team with order processing issues, payment terminal troubleshooting, facility problems requiring service or maintenance and general problem solving and support.

**Fraud Investigations / Web Admin**
- Work with Management on all fraud investigations for Vistek.
- Learn all the rules, policies, and processes for investigating fraud transactions including the Resolution process with PayPal.
- Review credit card chargeback claims and assist Accounting to resolve.
- Be proficient in the ability to determine potential fraudulent payment and approve or decline transactions independently.
- Communicate fraud concerns to the sales team and management
- Escalate issues to management as required

**Head Office Administration**
- Control the Internal Supplies inventory for shopping bags, gift cards, warranty brochures etc.
- Assist with facilities management for Toronto and Head Office departments such as; HVAC issues, parking control, water coolers, cleaning service, pest control, locksmith etc.
- Facilitate courier claims for lost deliveries.
- Order business cards for all staff and managers.
- Assist with Corporate Cell phone management.
- Review and respond to Allied Properties staff regarding general requests and inquiries

**QUALIFICATIONS AND EXPERIENCE**:

- +3 years background in an administrative role supporting management teams
- +2 years working in a customer service centric role
- Experience working with ERP and CRM systems; HubSpot experience a key asset
- Advanced excel skills
