National Coordinator, Administration Location: Toronto Office The National Coordinator, Administration is a national role that works closely with the Director, Office Services & Facilities to manage the Firm’s administration function across the country. The incumbent will coordinate national and regional projects and initiatives, provide additional support to the Office Services and Facilities team nationwide, and contribute to various committees. This high‑profile, hands‑on position requires an extremely responsive, proactive, and communicative individual—ideally with strong organizational, numeracy, and project‑management skills and a keen interest in law‑firm administration. Key Responsibilities Coordinate the day‑to‑day administration of national projects and initiatives, including preparation of meeting agendas, circulating materials, and travel arrangements. Track project developments, deadlines, documentation, and progress; communicate updates to the Office Services & Facilities team. Assist in developing and managing project budgets, tracking expenses, and handling invoice payments. Provide strong administrative support to executive committees, lawyers, and lawyers within the firm. Act as secretary of committees and project teams, recording and transcribing actions during meetings. Serve as the central hub for the Director’s office, responding to inquiries as needed. Maintain primary contact with external consultants and suppliers. Coordinate requests for new hires for the national administration team and compile job descriptions in collaboration with People & Culture. Compile monthly team reports and action lists for the Director. Data, Budget and Expense Management Manage and review national departmental expenses. Prepare and review the department’s annual budget, track monthly budget vs actuals, and flag variances. Assist in preparing financial reports and spreadsheets for director review. Maintain departmental database and filing system. Miscellaneous Tasks Perform other tasks as required. Qualifications Community College Office diploma or Business Administration program, plus at least one year’s experience in a professional services or legal environment. Project‑management experience is an asset. Advanced MS Office skills, especially Excel and PowerPoint. Proficiency in MS Project and/or Visio is an asset. Ability and willingness to learn new software and technology quickly. Superior organizational, numeracy, and project‑management skills.
