What will you be doing as the Operations Assistant?

The Festival Operations Assistant (FOA) is responsible for assisting with all administrative tasks for the Senior Director of Operations (DOO) and the Operations Manager as directed. Reporting directly to the Senior Director of Operations or delegate, the FOA will demonstrate keen attention to detail to ensure all administrative tasks are completed for the DOO, such as meeting minutes, booking meetings, financial reconciling, email management, preparation of meetings etc. The FOA will be required to fill in at events and/or meetings when needed, be the point of contact for the Senior Director of Operations and aid in the Operations Team’s smooth execution.

Responsibilities include:

- Providing administrative support, including email management and correspondence, managing the transfer of documents and data, coordinating meetings including bookings, meeting minutes and other meeting functions
- Work with the Senior Director of Operations, or delegate, to ensure all operational requirements are being met on time and to assist with the general organizing and prioritizing of the Operation Team’s responsibilities
- Assist, when directed, in events when needed. This could include, but not limited to, event coordination, set up/take down, Parade and StreetFair assistance, pickups and deliveries
- Respond to all operational general inquiries as directed by the Senior Director of Operations
- Act as a lead for operational volunteer support when needed, ie, operational volunteer teams who need supervision
- Liaison with various vendors, grantors, staff and contractors to ensure operational deadlines are completed and on-track
- Support the operational reconciliation of all relevant payments
- Manage the Senior Director of Operations schedule and ensure a balanced and efficient calendar
- Working with other department Managers and/or Directors to learn departmental needs and goals pertaining to logistics and operations for Festival weekend and special events
- Liaison with the Sponsorship team to identify required deliverables and ensure needs are met
- Coordinate various signage requirements throughout the festival and special events
- Assist with the coordination of operational vehicles for the festival footprint
- Develop load in/load out schedules as required
- Assist the Director of Operations with legacy documents as required
- Complete all necessary administrative work as assigned and assist the Senior Director of Operations as directed
- Assist with data management, entry and software integration
- Assist with festival delivery and ensure any assigned tasks are completed in a timely manner

What are we looking for

- G license or equivalent is an asset
- Events experience with strong improvisation, strategic planning & problem solving skills
- Customer service experience with strong interpersonal & communication skills
- Detail oriented
- Highly organized with excellent time management, prioritization, and multitasking abilities
- Google Suite experience
- Ability to work efficiently as part of a team and individually, as needed
- Ability to resolve problematic situations quickly
- Keen interest and experience with data management software
