Role Impact:

Reporting to the CFO, the Finance Programs Specialist will manage the execution of the overall Audit Committee process, communications of the Finance Department and work closely with a range of stakeholders to deliver programs and initiatives aimed at supporting and engaging employees within the department. The Finance Programs Specialist will develop and implement integrated communications and engagement strategies that support organization and department priorities and objectives. This role will manage the execution of the end-to-end Audit Committee process, department communications, team resources and processes as well as support a wide variety of projects and initiatives.


What you will deliver:

Manage Overall Audit Committee Process and Interactions

  • Manage the execution of the end-to-end Audit Committee Process including:
    • Project Management of quarterly processes including ownership of the Roadmap of timelines and deliveries and coordinating with stakeholders (Finance, D&T, Deloitte, Legal, etc.)
    • Manage the agenda, table of contents and audit committee calendar
    • Responsible for all logistics for audit committee meetings including presentations and coordinating with presenters and D&T
    • Responsible for Audit Committee Diligent Books and ensuring all materials are received, uploaded, and sent to the Audit Committee members
  • Communicate and distribute all relevant Financial materials monthly to the Audit Committee and CF Senior Leadership Team (SLT)

Manage Finance SLT Meetings and Communications of CFO and Finance SLT

  • Develop and manage annual department communication plan including communications plans for CFO, SLT, Team Leads and Social & Wellness Committee
  • Plan, research and draft a wide variety of communications for CFO and team leaders, including CFO bi-weekly communication noting business updates, objective milestones, celebratory and cultural events, leveraging corporate communications and other CF material
  • Develop content (slide decks, speaking notes) and organize delivery for large-scale meetings (Town Halls & AGMs) (4x per year)
  • Develop a communication calendar to implement effective communications that build and foster employee engagement i.e., department and social & wellness communications, as needed for special projects or department initiatives, and communication plans to be delivered via town halls / AGMs
  • Manage the agenda, action items and logistics for the bi-weekly Finance SLT Meetings
  • Manage and liaise with the Director/Sr Director Finance group for their monthly meetings including agenda, logistics, action items and connectivity to the Finance SLT

Finance Team Engagement

  • Develop a consistent Finance onboarding plan and process for new team members. Assist with the orientation of new team members as they join the Finance departments as needed.
  • Consult with department leadership to identify opportunities and recommendations to enhance cohesion across multiple functions within the department. Work with Finance Leadership team on department initiatives and present to Finance SLT
  • Leverage engagement analyses from HR to develop team debrief materials and action plans, and oversee the roll out and progress tracking of action items
  • Review and manage the Finance Site on CF Mosaic and ensure relevant content to drive clear, consistent messaging across the department
  • Work with Finance teams to develop and maintain content on CF Mosaic, creating new pages and content as required
  • Act as link between employees, CFO and Finance SLT liaising on employee well-being, company / department climate and the success of programs and initiatives
  • Chair Finance Social & Wellness Committee and lead the ideation, feasibility assessment and roll out of engagement initiatives

Finance Operations

  • Promote internal training programs (Building Leaders). Work with HR to organize Finance training programs as needed - e.g., people leader training, coaching, career development
  • Help support daily operations of the Finance department and projects e.g., special projects, department events/communications, maintain CF Mosaic Finance site for information sharing, onboarding of new team members, maintaining department distribution lists
  • Coordinate department initiatives and guide to completion
  • Support the design, implementation and coordination of improvements in department-wide processes and procedures, and work to improve existing processes for maximum clarity, efficiency, and success
  • Track the implementation of team and department initiatives from development through execution under the supervision of executive leadership
  • Coordinate and facilitate meetings, conferences, and special events, handling logistics and providing necessary materials and support

  • Able to demonstrate analytical thinking skills with excellent attention to accuracy and detail while working with ambiguity
  • Well organized with superior project management skills and proven ability to work under pressure
  • Proven track record of effectively interacting with senior management
  • Effective organization and prioritization skills with proven success in managing multiple priorities with varying deadlines.
  • Possess a continuous improvement and quality mindset along with a desire to continuously seek and incorporate innovative practices and technologies in order to deliver value to the clients.
  • Knowledgeable in Google Workspace, advanced skills in Microsoft Office applications including Microsoft Word, Excel, and experienced with digital communications tools and know how to leverage them

What you need to succeed:

  • University Degree (Bachelors / Masters)
  • Minimum 5 years of progressive communications experience within a corporate environment
  • Experience supporting multiple Senior Leaders
  • Proven experience in planning engagement strategies, team building initiatives and event planning (AGMs / Town Halls / Conferences)
  • Project Management certification an asset
  • Change Management certification an asset
