The Office Assistant, under the direction of the immediate Supervisor, completes day to day office tasks as required. This role is fully in office at our Vaughan Location.


DUTIES AND RESPONSIBILITIES

  • Answer incoming calls and field calls accordingly to office staff.
  • Welcome visitors, clients and staff and handle inquiries in a professional manner.
  • Collect, open, and distribute incoming mail daily; maintain mailing lists.
  • Monitor and handle supplies inventory and ensure supplies are adequately replenished daily.

  • Ability to lift up to 20 lbs. (i.e., boxes of supplies and paper)
  • Ensure general office upkeep and maintenance daily.
  • Responsible for making sure the receptacles are emptied daily
  • Complete word processing and photocopying as requested by the immediate Supervisor.
  • Order, distribute, receive payment and maintain an inventory of in-stock inventory items including stationary, forms and office supplies.
  • Participate in ongoing internal and/or external continuing education activities.
  • Adhere to Bayshore Policies and Procedures.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participates in proactive Health & Safety activities while performing all duties.
  • Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
  • Complete other tasks as requested.

Schedule - Fully in Office:

  • Monday to Friday 8:00 am - 4:00 pm


Job Qualification

Education

  • Minimum - Secondary School Diploma; completion of a clerical or receptionist training program is preferred.

Experience

  • A minimum of two years recent experience as a Office Assistant in an office setting.

Other Skills and Abilities

  • Exceptional interpersonal skills and ability to work independently and as part of a team; demonstrated ability and competency with respect to keyboarding, Windows software, multi-line telephone systems and standard office equipment; ability to speak, read and write English fluently strong commitment to continual learning.
  • Adapt at prioritizing, scheduling and multitasking
  • Fast and eager learner
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in MS Office
