Executive Coordinator

Reporting to the President & CEO, the Executive Coordinator is responsible for providing confidential administrative and executive secretarial services to the President & CEO and the Board of Directors. The Executive Coordinator supervises and coordinates the administrative support staff in the Administration Office to ensure effective and efficient administrative support is provided to the Chief of Staff and Leadership Team.
Qualifications:- Post-secondary undergraduate degree in a related field, preferably Business Administration
- Office management experience/career progression that demonstrates increasingly more responsible roles, including five or more years of senior administrative experience within a healthcare environment
- Expresses ideas and facts in a clear and organized manner; listens to others and demonstrates understanding, seeking clarity as needed; prepares written documents in a logical, concise and clear manner
- Manages workload while delivering high quality work products within tight timelines through outstanding coordination, organizational and time management skills
- Remains open to new ideas and approaches, demonstrating flexibility by adjusting behavior and work methods in response to multiple demands, new information and unexpected obstacles
- High level of initiative, demonstrating ability to anticipate and respond to the changing environment with minimal supervision, autonomously and as a team member
- Excellent analytical and listening abilities to accurately summarize key information and integrate information from a variety of sources into briefing notes, summaries and reports
- Ability to relate in a positive and productive way to people in all disciplines and with peers at all levels of the organization
- Excellent judgment, use of tact and discretion in handling sensitive and confidential information and situations
- Outstanding accuracy and impeccable attention to detail
- Accepts responsibility for own actions and accomplishes work in an ethical, efficient and cost-effective manner; follows through on commitments; actively and continuously learns
- Ability to maintain accurate and well-documented records
- Knowledge of the Public Hospitals Act, Excellent Care for Call Act, Broader Public Sector Accountability Act, Fixing Long Term Care Act, Not-for-Profit Corporations Act, other relevant legislation, board policy and governance practices
- Knowledge of strategic and operational planning and corporate governance issues
- Proficiently uses computer programs, including but not limited to Word, PowerPoint and Excel, pdf Editor, Smartsheet, Canva, Visio and electronic mail systems
- Excellent writing, editing, proofreading and grammar skills
- This position shall be conditional upon a satisfactory Criminal Record and Judicial Matters Check (CRJMC) where indicated, to ensure the absence of relevant criminal convictions.
- Ability to travel to various work locations as required and provide own transportation.
- Ability to work irregular hours (requirement of the job i.e., evening or weekend public engagement or event).
