Purpose of the Position

This role performs various front desk and clerical duties under general supervision. Key responsibilities include operating the switchboard, receiving visitors, providing routine information, typing, and filing documents. You will also assist with accepting calls from nursing staff regarding absence and calling in relief staff according to established guidelines.

Responsibilities

  • Operate the switchboard, receive and transfer incoming calls, and page staff or other parties as needed.
  • Respond to inquiries, greet visitors, and direct them to appropriate areas. Provide standard information on facility policies and resident details.
  • Type various documents, including memoranda, reports, and articles, ensuring accuracy and completeness.
  • Prepare donor acknowledgement cards as requested by the Foundation.
  • Sort, record, and distribute incoming mail and process outgoing mail.
  • Initiate communication procedures during emergencies, using paging and walkie-talkie systems as defined in established guidelines.
  • Record resident admissions, transfers, and discharges on designated forms and distribute information accordingly.
  • Provide tickets, such as guest meal tickets, High-Holiday tickets, and HandiDart tickets, when requested.
  • Coordinate meeting room bookings as required.
  • Contact staff, residents' families, and non-staff regarding scheduled meetings or other matters.
  • Accept calls from nursing staff regarding illness and absence from work, communicate information to the In-Charge Nurse, and call in relief staff according to instructions and guidelines.
  • Deliver mail, flowers, meal trays, or other items to residents as needed.

Qualifications

A Grade 12 education, Medical Office Assistant certificate, and two years of recent related experience or an equivalent combination of education, training, and experience are required.

Hourly Wage: $27.56
