The Operations Administrative Coordinator plays a vital role in supporting the day-to-day activities of the location and its associates. Reporting to the Director of Operations, this position is responsible for providing administrative and facility support to ensure the smooth operation of the business.

Key Responsibilities:

  • Collaborate with the ERP system (AX Dynamics) to complete various tasks, including production order creation, working closely with Customer Care and Production Supervisors.
  • Support the human resources department with employee training administration, new hire onboarding, filing, and other administrative tasks.
  • Provide data entry, mailings, audits, and reconciliations support to various departments.
  • Coordinate the Joint Health & Safety Committee program, scheduling meetings, preparing and distributing minutes.
  • Ensure a positive visitor experience, completing visitor logs, assigning badges, and tracking returns.
  • Respond to incoming calls, directing them to the appropriate person in a professional manner.
  • Maintain company phone lists, meeting room calendars, and mail slots.
  • Manage office and kitchen supplies, including purchase requisitions, and maintain a tidy photocopy area and meeting rooms.
  • Occasionally arrange catering and pick up items from the local community as required.
  • Maintain respectful communication with colleagues and supervisory staff.
  • Adhere to the company's ISO Quality Policy and understand the impact of this role on the company's competitiveness and performance.
  • Perform other duties as assigned.

Requirements:

  • Office Administration certificate or equivalent.
  • 2+ years of office administrative experience in a similar role.
  • Strong verbal and written communication skills, proactive, with good organizational and prioritizing skills.
  • Intermediate level in Microsoft applications; Word, Excel, PowerPoint, Outlook, with strong keyboarding skills.
  • Demonstrated ability to learn other software programs.
  • Experience with AX Dynamics or other ERP systems considered an asset.
