Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to join our team at TOTEM Recruteur de talent. As an Executive Assistant, you will provide administrative support to our Director General, ensuring the smooth operation of our organization.

Key Responsibilities

  • Assist the Director General in administrative tasks related to operations and development, and ensure follow-up on contacts.
  • Design and layout documents, reports, agreements, correspondence, and contracts.
  • Assist in preparing presentations, conferences, and ensure follow-up.
  • Write and prepare various documents.
  • Organize, coordinate, and manage the Director General's agenda.
  • Ensure efficient filing of the Director's documents.
  • Organize and manage meetings, conferences, and special projects, and ensure follow-up.
  • Assist the Director General at official meetings, receptions, and presentations.
  • Perform other related tasks as needed.

Requirements

  • Diploma in administration or management, or equivalent, with a minimum of 5 years of experience in a similar position.
  • Good knowledge of Macintosh systems (Microsoft Word, Excel, PPT, Keynote).
  • Excellent writing skills.
  • Excellent mastery of French and English, both orally and in writing.
  • Excellent organizational skills, good priority management, and resourcefulness.
  • Demonstrate proactivity, motivation, and ability to anticipate needs.
  • Sense of responsibility and respect for confidentiality, positive attitude.
