About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at North Pace Immigration Solutions Ltd. As an Administrative Support Specialist, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities
  • Communication and Coordination
    • Coordinate the flow of information within the team to ensure seamless communication and collaboration.
    • Direct and control daily operations, ensuring that tasks are completed efficiently and effectively.
  • Administrative Support
    • Open and distribute mail and other materials, maintaining a well-organized and clutter-free workspace.
    • Plan and control budget and expenditures, ensuring that our office runs within budget.
    • Record and prepare minutes of meetings, seminars, and conferences, providing accurate and detailed documentation.
  • Office Management
    • Determine and establish office procedures and routines, ensuring that our office runs efficiently and effectively.
    • Schedule and confirm appointments, ensuring that our clients receive timely and professional service.
    • Answer telephone and relay telephone calls and messages, providing excellent customer service.
  • Data Management
    • Compile data, statistics, and other information, providing valuable insights and analysis.
    • Respond to employee questions and complaints, providing timely and effective support.
  • Office Maintenance
    • Order office supplies and maintain inventory, ensuring that our office is well-stocked and equipped.
    • Arrange travel, related itineraries, and make reservations, providing seamless travel arrangements.
  • Customer Service
    • Greet people and direct them to contacts or service areas, providing a warm and welcoming experience.
    • Set up and maintain manual and computerized information filing systems, ensuring that our records are accurate and up-to-date.
  • Documentation
    • Type and proofread correspondence, forms, and other documents, ensuring that our communication is professional and error-free.
    Requirements
    • 7 months to less than 1 year of experience in an administrative support role.
    • Hybrid work environment, with a focus on remote work.
