Job Title: Administrative Support Specialist

Job Summary: We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Olive Tree Medical Clinic. As an Administrative Support Specialist, you will be responsible for providing administrative support to our medical staff, ensuring the smooth operation of our clinic.

Key Responsibilities:

  • Provide administrative support to medical staff, including scheduling appointments, managing patient records, and preparing correspondence.
  • Manage and maintain accurate and up-to-date patient records, including medical histories and treatment plans.
  • Coordinate and schedule appointments, procedures, and tests, ensuring that all necessary information is available to medical staff.
  • Prepare and distribute medical reports, correspondence, and other documents as required.
  • Provide excellent customer service to patients, families, and medical staff, responding to inquiries and resolving issues in a timely and professional manner.
  • Develop and maintain effective relationships with patients, families, and medical staff, ensuring that all interactions are respectful, empathetic, and professional.
  • Participate in quality improvement initiatives, identifying areas for improvement and implementing changes to enhance patient care and clinic operations.

Requirements:

  • Post-secondary education in a related field, such as business administration or healthcare administration.
  • Minimum 1-2 years of experience in a medical office or administrative role.
  • Excellent communication and interpersonal skills, with the ability to work effectively with patients, families, and medical staff.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
