Job Summary

We are seeking an experienced and skilled Administrative Assistant to join our team as a Secretary to Clinic Manager.

The successful candidate will provide administrative support to the Clinic Manager, ensuring the smooth operation of the clinic and providing exceptional service to patients and healthcare providers.

Key Responsibilities
  • Provide administrative support to the Clinic Manager, including reviewing and completing payroll entries, preparing and submitting invoices, and ensuring collection of billing errors.
  • Facilitate completion and submission of incident reports, and ensure facility maintenance by communicating with building superintendent or handyman.
  • Order supplies and monitor usage, coordinate NOSM student schedules, and ensure ongoing staff certification.
  • Take sick calls and ensure coverage during vacations and absences of technical supervisors, and cover Patient Care Representative and transcription work when required.
  • Manage patient and physician concerns in a timely fashion, and record and document all clinic staff meeting minutes.
  • Collaborate with JHSC committee, and positively influence and lead staff members, as well as physicians.
Qualifications and Requirements
  • 0-2 years of secretarial experience.
  • Diploma in Office Administration or related field.
  • Medical terminology and transcription experience required.
  • Typing speed minimum of 50 WPM.
  • Willing to travel to other sites, when required.
  • Ability to rapidly learn and adapt to changing environments and clients.
  • Self-starter that thrives in entrepreneurial environments.
  • Excellent written and oral presentation skills with ability to engage, inspire, and build credibility.
  • Demonstrate reliability and flexibility.
  • Excellent interpersonal, communication and relationship building skills.
  • Excellent written and verbal communication skills combined with excellent patient care.
  • Demonstrate effective decision-making and problem-solving skills.
