Executive Support Specialist

Job Summary: As an Executive Assistant at North End Community Renewal Corporation, you will play a vital role in supporting the Executive Director in achieving organizational goals. This position requires exceptional organizational and time management skills, as well as the ability to build strong relationships with diverse stakeholders.
Key Responsibilities:
Administrative Support:
- Provide administrative assistance to the Executive Director, including scheduling, correspondence, and record-keeping.
- Manage confidential records and files, ensuring accuracy and security.
- Develop and implement administrative procedures to optimize efficiency and productivity.
Meeting Coordination:
- Coordinate meetings, including scheduling, venue booking, and preparation of materials.
- Ensure the Executive Director is prepared with necessary documents and agendas.
- Take and distribute meeting minutes, and follow up on action items.
Research and Documentation:
- Conduct research and compile data for the Executive Director.
- Develop detailed reports and presentations to support organizational goals.
Stakeholder Engagement:
- Build and maintain relationships with internal teams, external partners, and key stakeholders.
- Ensure clear communication between all parties.
- Represent the Executive Director in meetings and events as needed.
Schedule Management:
- Manage the Executive Director's calendar and prioritize engagements.
- Coordinate travel arrangements and ensure smooth execution.
Qualifications:
- Bachelor's degree or equivalent professional experience in fields such as Office Administration, Business Administration, Communication, Management, or Public Administration.
- Experience in an executive support role with strong organizational and time management skills.
- Proficiency in office software and digital tools.
- Alignment with North End Community Renewal Corporation's mission and an understanding of the non-profit sector.
- Strong interpersonal skills and the ability to build relationships with diverse stakeholders.
- Problem-solving abilities and adaptability to changing priorities.
