Role Overview
As an Office Coordinator, you will play a crucial role in ensuring smooth operations within our team. Your responsibilities will encompass a variety of administrative tasks aimed at supporting our client service staff and enhancing overall productivity.
Key Responsibilities:
- Perform general administrative tasks, including reception duties, filing, photocopying, scanning, faxing, and mailing.
- Collaborate effectively within a team to assist in producing high-quality deliverables for clients.
- Utilize Microsoft Office suite proficiently to prepare and assemble financial documents, correspondence, proposals, and presentations that align with our firm’s standards.
- Draft letters and reports using established templates, ensuring compliance with organizational guidelines.
- Review and proofread documents for quality assurance before finalizing any client deliverables.
- Digitally archive documents and maintain organized electronic files.
- Greet clients warmly, whether in person or over the phone, addressing inquiries or directing them appropriately.
- Engage in ongoing training to stay updated with RPMGlobal software and tools.
- Assist with billing processes using various internal systems in accordance with engagement agreements.
- Maintain and organize information within our CRM database for marketing initiatives.
- Coordinate meetings, including room bookings, catering, and event planning, as well as manage video conferencing setups.

Qualifications:
- Proven experience with Microsoft Office, particularly Outlook, Word, Excel, and Teams.
- 2 to 4 years of relevant administrative experience.
- Strong data entry skills with a keen eye for detail and proofreading capabilities.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and prioritize effectively.
- Client-focused mindset with a commitment to exceptional service.
- Technologically adept, with the ability to learn and troubleshoot various software applications.
- Proactive in taking initiative and capable of working independently.
- High level of accuracy and efficiency in task execution.
