Role Overview
As an Office Coordinator, you will play a crucial role in ensuring smooth operations within our team. Your responsibilities will encompass a variety of administrative tasks aimed at supporting our client service staff and enhancing overall productivity.

Key Responsibilities:

  1. Perform general administrative tasks, including reception duties, filing, photocopying, scanning, faxing, and mailing.
  2. Collaborate effectively within a team to assist in producing high-quality deliverables for clients.
  3. Utilize Microsoft Office suite proficiently to prepare and assemble financial documents, correspondence, proposals, and presentations that align with our firm’s standards.
  4. Draft letters and reports using established templates, ensuring compliance with organizational guidelines.
  5. Review and proofread documents for quality assurance before finalizing any client deliverables.
  6. Digitally archive documents and maintain organized electronic files.
  7. Greet clients warmly, whether in person or over the phone, addressing inquiries or directing them appropriately.
  8. Engage in ongoing training to stay updated with RPMGlobal software and tools.
  9. Assist with billing processes using various internal systems in accordance with engagement agreements.
  10. Maintain and organize information within our CRM database for marketing initiatives.
  11. Coordinate meetings, including room bookings, catering, and event planning, as well as manage video conferencing setups.

Qualifications:

  1. Proven experience with Microsoft Office, particularly Outlook, Word, Excel, and Teams.
  2. 2 to 4 years of relevant administrative experience.
  3. Strong data entry skills with a keen eye for detail and proofreading capabilities.
  4. Excellent verbal and written communication skills.
  5. Ability to manage multiple tasks and prioritize effectively.
  6. Client-focused mindset with a commitment to exceptional service.
  7. Technologically adept, with the ability to learn and troubleshoot various software applications.
  8. Proactive in taking initiative and capable of working independently.
  9. High level of accuracy and efficiency in task execution.
