Job Title: Administrative Associate

Job Summary:

We are seeking a highly organized and client-focused Administrative Associate to provide exceptional administrative and customer-service support to our Investment Advisors and their clients. The ideal candidate will possess a strong understanding of administrative procedures and policies, with excellent organizational skills and a customer-focused attitude.

Key Responsibilities:

  • Assist in preparing Advisors and Managers for client meetings, including the preparation of account-opening documentation.
  • Complete account processing activities, such as converting RRSPs to RRIFs, setting up RRIF payments, estates, beneficiary updates, and processing various transactions.
  • Act as a general resource person for clients, providing support with tasks such as printing statements and tax slips.
  • Maintain client files, ensuring compliance with industry regulations and policies.
  • Perform general administrative tasks, such as preparing letters and client communication pieces.
  • Attend client events and perform other duties as assigned.

Requirements:

  • Diploma in business administration, accounting, finance, or a similar field of study.
  • Minimum 1 year of administrative experience, preferably in finance.
  • Completion of CSC/CPH an asset.
  • Experience in opening accounts with IIROC considered a strong asset.
  • Strong organizational skills, with the ability to proactively manage a high volume of time-sensitive work.
  • Demonstrated, reliable work ethic, with the ability to manage multiple competing priorities.
  • Ability to adapt quickly to changing needs and work requirements.
  • Customer-focused attitude, with a commitment to providing extraordinary service to high-net-worth clients.
  • High level of proficiency in Microsoft Office tools, with experience in financial tools an asset.
