Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team at MEM URBAN DEVELOPMENT INC. As a key member of our administrative staff, you will provide high-level support to our operations team.
Job DescriptionThe successful candidate will be responsible for:
- Coordinating the flow of information within the team and ensuring timely communication;
- Distributing mail and other materials in a prompt and efficient manner;
- Providing training to other workers on office procedures and protocols;
- Preparing minutes of meetings, seminars, and conferences with accuracy and attention to detail;
- Scheduling appointments and confirming them with all parties involved;
- Answering phone calls and relaying messages in a professional and courteous manner;
- Compiling data, statistics, and other information as required;
- Ordering office supplies and maintaining inventory levels;
- Arranging travel, related itineraries, and making reservations as necessary;
- Greeting people and directing them to contacts or service areas;
- Maintaining manual and computerized filing systems, including setting up and updating records as needed;
- Typing and proofreading correspondence, forms, and other documents with precision and care;
To be successful in this role, you must possess the following skills and qualifications:
- Experience working in a fast-paced environment with multiple tasks and deadlines;
- Strong organizational and time management skills, with the ability to prioritize tasks and manage competing demands;
- Excellent communication and interpersonal skills, with the ability to work effectively with colleagues, supervisors, and external stakeholders;
- Proficiency in MS Office applications, including Excel, Outlook, PowerPoint, and Word;
- Electronic mail management and coordination skills;
- Able to multitask, work under pressure, and meet tight deadlines;
- Flexible and able to adapt to changing priorities and circumstances;
- Judgement and decision-making skills, with the ability to make informed decisions and take initiative when necessary;
- Organized and accurate, with a strong attention to detail;
- Client-focused and able to provide excellent customer service;
- Reliable and able to maintain confidentiality and discretion when handling sensitive information.
We offer a competitive salary range of $45,000 - $55,000 per year, depending on experience, as well as a comprehensive benefits package that includes:
